A few checks before pickup can reduce avoidable delays and make handoffs clearer. Use this list to bring the shipper, carrier and receiving team onto the same page.

Confirm the shipment information

  • Verify the pickup and delivery addresses, contacts and operating hours.
  • Confirm the ready date, delivery window and any appointment requirements.
  • Share the commodity, handling units, dimensions and total weight.
  • Flag special handling, temperature, security or access needs.

Prepare the freight

Package and label each handling unit for the planned journey. Make sure labels can be read and that freight is ready for the agreed loading method. If the load needs special securement or a particular loading sequence, communicate that before dispatch.

Prepare the site

Tell the pickup team about gate procedures, check-in instructions, dock locations, safety equipment and vehicle restrictions. Confirm whether a forklift, dock or other equipment will be available, and whether the driver needs an appointment or reference number.

Keep documents and contacts close

Have the shipping paperwork ready and make sure the people responsible for loading and receiving know how to reach one another. A clear point of contact helps resolve questions about timing, counts or condition without unnecessary back-and-forth.

Close the loop

At pickup, compare the loaded freight with the shipment details and note exceptions. At delivery, confirm receipt and collect the agreed proof of delivery. Clear records help everyone understand what moved and when.
